Billing & Invoices
Manage your OnCloudWine subscription, billing details, payment method, and invoice history.
Billing is per-organization. The Billing tab is where you manage the subscription that pays for OnCloudWine itself โ separate from the member payments you take via Stripe or Square.
Don't confuse: (1) your business paying OnCloudWine for the subscription (this page), and (2) members paying your business for releases (covered in Payments & Refunds).

Plan, payment method, and invoice history.
Plan
The Plan tab shows your current plan, billing cycle, and renewal date.
- Current plan
Plan name (Starter, Pro, Enterprise) and price per cycle.
- Billing cycle
Monthly or annual. Annual saves ~16% on most plans.
- Next charge
Date and amount of the next scheduled charge.
- Trial status
If you're in a trial, the days remaining and the date the first charge will run.
Switching plans
Click Change plan
Opens the same plan picker from Choosing a Plan.
Pick the new plan
Plans you've already trialed are marked accordingly.
Confirm
Upgrades take effect immediately and pro-rate the difference on your next invoice. Downgrades take effect at the end of the current cycle.
Switching cycles
You can switch from monthly to annual (or vice versa) at any time. Annual switch creates a new invoice for the upgraded amount minus any unused monthly time.
Cancelling
Click Cancel subscription
A modal explains what cancellation means.
Pick a reason
Optional but appreciated โ helps us understand churn.
Confirm
Cancellation takes effect at the end of the current paid period. Up until then, full dashboard access continues. After that, the org enters read-only mode.
Re-subscribe any time
Re-subscribe before or after the period ends to restore full access.
Billing address
The address on your invoices for tax purposes. Required by some states and countries to compute sales tax on your subscription.
- Company name
- Optional. Used on invoice headers.
- Tax ID / VAT number
- Optional. Required for certain B2B reverse-charge cases (EU VAT, etc.).
- Street, city, state, postal code, country
- Standard address fields.
Billing email
By default, invoices and billing notifications go to the Owner's email.
Override that here โ common pattern is to send to [email protected]
or your CPA.
You can list multiple emails (comma-separated). Every billing notification goes to all listed addresses.

Downloading an invoice
Click any row โ Download PDF. The PDF is generated by Stripe and includes:
- Invoice number, date, due date
- Line items (subscription, prorations, taxes)
- Your billing address and tax ID
- Payment method used
- Total and paid status
Failed billing charges
If a card-on-file fails (expired, declined), you'll get an email and the
invoice shows in OPEN status. Update your payment method (next section)
and the charge automatically retries.
After repeated failures, the org moves to a grace period (typically 7 days) before transitioning to read-only.
Updating the payment method
The card OnCloudWine charges for your subscription is stored at Stripe. Update it from the Plan tab โ Update payment method. The form is Stripe-hosted; OnCloudWine never sees the card number.
Refunds and disputes
If you believe an invoice is wrong, contact support before disputing through your card issuer. Disputes through the issuer freeze the org until resolved, which is rarely what you want.
