Your First 10 Minutes

Your First 10 Minutes

A guided checklist to take a fresh OnCloudWine organization from empty to operational.

You've finished onboarding and picked a plan. Now what? This page is a practical checklist of the things to do first — by the end you'll have a member in your CRM, a product in your catalog, and a teammate who can help.

The checklist

  1. Add your first contact

Go to Contacts and click Add Contact. Fill in name, email, and select a club. Saving creates the contact and lands you on their detail page where you can add tags, notes, and a payment method.

Don't worry about importing your full member list yet — see Importing & Exporting when you're ready for that. For now, add one real contact so you can see how everything connects.

  2. Create a tag

Open Contacts → Tags and create something like "VIP" or "Local pickup". Tags are how you slice and segment your CRM later — for releases, marketing, and reports.

  3. Add your first product

Go to Products → Add Product and create a wine. At minimum you need a name, SKU, and a single variant with price and weight. Add a hero image — it appears on packing slips and the client portal.

  4. Invite a teammate

Go to Settings → Organization → Members and send an invite. Even if you work alone today, inviting an accountant or VA with a Member role unblocks you when something goes wrong.

  5. Configure shipping defaults

Open Settings → Organization → Shipping and set your origin address and default package dimensions. Without these, label generation fails when you ship a release.

  6. Tour the dashboard home

Click Home in the sidebar and explore the Overview, Signups, and Sales tabs. Even with one contact and no orders, the layout shows you what each metric will become as data flows in.

  1. Connect a payment processor

You need either Stripe or Square connected before you can charge members for a release. See Stripe or Square.

  2. Set up your portal domain

The default your-slug.oncloudwine.com works out of the box. For production, point a subdomain like members.yourwinery.com at OnCloudWine via Custom Domains & Branding.

  3. Build your first release as a draft

Even if you're months away from sending real wine, walk through Creating a Release end-to-end as a draft. It surfaces every setting you'll need on launch day.

How do I know I'm set up correctly?

If all of these are true, you're in good shape:

CheckWhy it matters
Contact createdConfirms organization, club, and CRM are wired together.
Product createdRequired to assign to releases and generate orders.
Shipping origin setRequired for label generation; releases will fail without it.
Teammate invitedRecommended for backup access and faster support.
Payment processor connectedRequired before processing payments on a release.
