Contacts Overview
How the contacts list works — filters, statuses, search, and bulk actions.
Contacts are the people in your wine club. Every member, prospect, and former member lives here. The Contacts page is also where you'll spend more time than anywhere else in the dashboard, so it's worth learning the toolbar.

Statuses
Every contact has a status that drives whether they're billed and shipped on the next release.
| Status | Meaning |
|---|---|
| ACTIVE | Receiving releases. Default state for new members. |
| ON_HOLD | Skipping releases temporarily. Useful for travel or payment-method issues. Won't be charged or shipped until reactivated. |
| INACTIVE | Not receiving releases but kept on file — common for prospects or former members you might re-engage. |
| CANCELLED | Membership ended. Cancellation reason is captured for reporting. |
Filtering and search
The toolbar at the top of the contacts list controls what you see.
Free-text search matches first name, last name, and email. The query is debounced — start typing and results filter live without a page reload. The current query is stored in the URL, so you can copy a filtered view to a teammate.
The contact detail page
Clicking any row opens the contact's detail page. The layout is a meta panel on the left and tabbed content on the right.
- Memberships
Clubs the contact belongs to, with join dates and modifiers (per-contact overrides applied during releases).
- Payments
Every charge or refund tied to this contact, with status and the originating release.
- Fulfillments
Order history — every shipment or pickup, with tracking numbers when available.
- Releases
Releases the contact participated in, including products they received.
- Integrations data
Linked records in Square, WooCommerce, or Mailchimp, with sync status.
Bulk actions
Select multiple contacts (the checkbox in each row) to run actions on the group:
- Apply or remove tags
- Change status (e.g., bulk-place on hold)
- Send to a Mailchimp audience
- Export the selection to CSV or Excel
Marking 200 contacts as CANCELLED runs the cancellation flow for every one
of them — including capturing the cancellation reason if you've configured
the reason picker. Test on a small selection first.
